How Blackbrook Rugby & Recreation Club collects, uses, and protects your personal data.

Last updated: 29 October 2026

1. Who we are

Blackbrook Rugby & Recreation Club ("the Club", "we", "us") is a members' sports and social club based at Boardmans Lane, Blackbrook, St Helens, Merseyside, WA11 9BB.

This app (BrookHub) is the Club's official member app. We are the data controller for the personal data you provide through the app.

2. What data we collect

Account data: your name, email address, and chosen member type (guest, member, or staff).

Staff data: if you register as staff, your phone number so shifts can be sent to you on WhatsApp.

Rota data: shifts you are assigned, hours worked, and any days off you request.

Booking enquiries: name, date, and contact details you submit when enquiring about a room.

Google data: if you sign in with Google, we receive your Google profile name and email address. We also read the Club's own Google Calendars to suggest staff shifts.

Usage data: anonymised analytics about how the app is used (e.g. page views).

3. Why we use your data (lawful basis)

Performance of a contract — to provide your membership, manage your shifts, and run club services you've signed up for.

Legitimate interests — to run the club safely, plan staffing, and communicate with members about fixtures, events, and bookings.

Consent — for anything non-essential (such as optional analytics) you can withdraw at any time.

Legal obligation — where we are required to keep records (e.g. financial or safeguarding).

4. How long we keep your data

Account data is kept while your membership or staff role is active, and for a short period afterwards for records.

Shift and rota data is retained for the time needed for payroll and HR purposes.

You can ask us to delete your data sooner (see below).

5. Who can see your data

Only authorised club admins can view member and staff records in the app.

Staff can see their own shifts, hours, and time-off requests.

We do not sell your data. It is only shared with third parties where needed to provide the service (e.g. Google for sign-in and calendar) or where required by law.

6. Your rights

You have the right to access, correct, or delete your personal data, and to object to or restrict certain processing.

To exercise any of these rights, contact us at the email below.

If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk).

7. Cookies & analytics

Essential storage — we keep your sign-in session and your cookie choice. The app can't work without these, so they don't need your agreement.

Analytics cookies — only if you accept them, we record anonymous usage: which pages are visited, calendar downloads, and room booking enquiries. This tells us which parts of Brook Hub are worth improving.

If you decline, nothing is recorded. Declining doesn't restrict any part of the app.

We don't run advertising, social media, or cross-site tracking cookies.

You can change your mind whenever you like using the button below, or the Cookie settings link at the bottom of any page.

8. Contact & data requests

For any privacy question or data request (including deletion), email us at blackbrookclub@gmail.com.

We will respond within one month, as required by UK GDPR.
